The Administrative Assistant reports to the Assistant Operations Manager and provides superior customer service by supporting the entirety of the Tacoma Yard with timely data entry and communication. They will coordinate and collaborate with various departments to ensure that Trident Seafoods Corporation customers (internal and external) are receiving quality support and services by performing the following duties:

Key Responsibilities:

  • Works closely with site leadership, Vessel Repair and Maintenance, warehouse, and dock operations.
  • Must be able to work with Microsoft Office Suite (Office, Word, Excel, and PowerPoint).
  • Manages both Trident employee and temporary employee timecards; ensures correct information is captured and reported.
  • Manages site telephone procurement process; coordinates with Trident Support Center on acquisition of resources and turn-in process.
  • Updates and maintains various programs as prescribed by supervisor.
  • Uses excellent organizational and records management techniques.
  • Utilizes professional communication and phone skills.
  • Answers questions and provides callers with addresses, directions, and other information.
  • Understands the importance of safeguarding employees’ personal information.
  • Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable.
  • Monitors visitor access and issues passes when required. Provides Personal Protective Equipment to visitors as well.
  • Performs other clerical duties as required.
  • Carries out instructions given by immediate supervisor.
  • Adheres to all company policies and procedures.
  • Reports all personnel-related issues to immediate supervisor.


Additional Responsibilities:

  • Acquires knowledge of Trident’s Environmental and Safety Policies by completing required training programs and performing designated work activities in accordance with training and procedures/work instructions
  • Notifies designated personnel of any environmental or safety incidents or risks not previously documented, in accordance with Environmental Awareness and/or safety trainings.
  • Performs other similar or related duties as requested or assigned.
  • Regular scheduled hours TBD, Monday to Friday, with overtime to be expected. Seasonal requirements may include ten-hour workdays and mandatory work hours on Saturdays and Holidays.

Minimum Qualifications:

  • 1+ year experience in applications of Microsoft Office - Outlook, Excel, Word, PowerPoint, and Access. Strong organization skills, and ability to prioritize while handling multiple tasks in a timely manner.
  • Clear and effective written and verbal communication and strong interpersonal skills.
  • Proficient in MS Office programs.
  • Must be flexible, innovative, and comfortable in setting own priorities and driving same to the production floor.
  • Able to work both independently and within a team generating results with general/minimal guidance.


Education:

  • High school diploma or general education degree (GED); or one-year related experience and/or training; or equivalent combination of education and experience.
