Job Summary : The Membership Coordinator plays a crucial role in ensuring the financial stability and success of Tahoe Mountain Club. They provide essential support to managers and members, ensuring accurate and efficient membership and accounting procedures are followed. The Membership Coordinator is responsible for managing all aspects of membership accounting, onboarding, and retention. Assists the controller in maintaining accurate records for accounts receivable. Manages accounts receivable to members/guests, including billing, statements, and payment. Maintains and updates membership database. Reconciles initiating deposits for all membership types. Process daily closings and deposits. This position reports to the Controller.

Accounts Receivable

Job Tasks (Duties):

  • Posts/interfaces member/guest charges to accounts.
  • Prepares and mails/emails member charges and statements.
  • Responds promptly to member/guest billing inquiries.
  • Receives and reconciles payments on accounts. Ensure all receipts are accurately posted to appropriate member/guest accounts.
  • Maintains files of receipt journal reports.
  • Ensure deposits to the bank are timely.
  • Prepares delinquent letters from Controller for approval.
  • Verifies all accounts receivable credits and write-offs are properly approved and documented.
  • Maintains file of accounts receivable aging reports and balances month end subsidiary ledge to the general ledger.
  • Assists Group Sales, Event Sales, and Events Manager with setting up accounts, billings and collecting payments.

Membership Database

  • Makes all changes/updates to the membership database in Foreup including entering new members. Ensures all documentation for new members is in order and approved. Ensures that on-going changes are properly documented.
  • Coordinates and communicates with the membership team to ensure the membership database is up to date and accurate.
  • Reconciles all initiation deposits received for each membership type to the membership database.
  • Ensures that all initiation deposits are collected timely based on the membership type.
  • Ensures that dues are billed appropriately to all active members.
  • Is the 'product champion' for the Foreup Club Membership (membership database & AR).

Administrative Responsibilities

  • Assist Controller in preparing month-end entries.
  • Assist Controller in preparing month-end financial statements.

Because of the fluctuating demands of the Club's operation, it may be necessary that each employee perform a multitude of different functions; therefore, as an essential part of your job, you will be expected to help others when the occasion arises, just as other employees are expected to help you. Accordingly, you may be expected to perform other tasks, not specifically addressed above.

Education/Experience : Bachelor's degree and a minimum of 2 years of experience within accounting, finance, or related field, with an emphasis in membership administration is preferred. Strong knowledge of accounting principles and procedures. Proficient in Microsoft Office Suite, particularly Excel. Knowledge of private club membership accounting software is a plus.

Language/Communication: Must be able to work as part of a team and maintain open communication with managers, fellow coworkers, and members. Ability to work independently and as part of a team. Ability to maintain confidentiality and manage sensitive information. Must display professional demeanor and always communicate in professional language. Must possess the ability to display professional demeanor and always communicate in a professional manner, exceeding members and guests. This role is part of our Accounting Membership Crew supporting the Controller, Director of Club Sales, and VP of Investments & Asset Management. Must have excellent cross-functional teamwork skills with an ability to identify areas of efficiency and embody an insatiable drive for excellence in execution. This requires someone who is very detail-oriented and organized with strong written and verbal communication skills.
