THE POSITION
Under general supervision of an administrator or supervisor, performs a wide variety of clerical work.

CURRENT OPENING: There are currently multiple part-time and full-time openings (12 to 40 hours per week). Salary placement will be on Range 16 of the CSEA Salary Schedule "B." Initial salary placement for new employees is customarily at step 1 ($21.31 per hour) of this salary range.

Optional Second Language: Some positions in this classification require the ability to speak, read, and write a second language in addition to English, and may require bilingual proficiency for which selective certification may apply (Education Code 45277).

An eligibility list will be established to fill vacancies for full time, part time, evening, summer, and substitute positions throughout the duration of the eligibility list. Eligibility lists typically last for twelve months. Vacant positions are filled from the top three ranks. Essential Duties

  • Enters and calculates data to generate reports.
  • Communicates via email, phone, or in person with members of the public, employees, and other individuals providing answers to questions, disseminating or explaining information, receiving information, and addressing routine complaints.
  • Retrieves, copies, compiles, collates, laminates, distributes, recycles, and shreds various documents and materials.
  • Operates various office machines such as photocopiers, scanners, fax machines, voicemail systems, and personal computers.
  • Operates software systems to input data and generate reports.
  • Files digital/paper documents, and creates digital/paper file folders.
  • Administers routine first aid to students and staff.
  • Notifies parents of ill or injured students.
  • Answers, screens, and refers telephone calls, and takes messages.
  • Stuffs, sorts, and prepares outgoing mail for pickup.
  • Prepares correspondence, memos, reports, requisitions, work orders, and other related materials from verbal or written instructions.
  • Gathers information from a variety of sources.
  • Assists in the preparation of large mailings.
  • Opens, time-stamps, and distributes office mail.
  • Orders, receives, sorts, distributes and maintains inventory of supplies.
OTHER RELATED DUTIES
  • May assist in enrolling and registering students, and filling out paperwork.
  • May dispense medication according to physician instructions and District policy.
  • May provide written and oral translation for non-English speaking individuals.
  • May receive and record fees, and prepare receipts.
  • Performs other related duties as directed.

DISTINGUISHING CHARACTERISTICS AMONG RELATED CLASSES
A Senior Office Assistant performs specialized and complex clerical and is typically responsible for a functional unit of activity.

An Office Receptionist operates a central District-wide computerized phone system and performs a variety of clerical work.

An Office Assistant performs a wide variety of clerical work.

PHYSICAL DEMANDS
Employees in this classification stand, walk, sit, reach, lift up to 25 pounds, carry, push, pull, stoop/kneel, balance, bend repeatedly, repetitively use fingers, repetitively twist or apply pressure using wrists or hands, use both hands simultaneously, use rapid mental/muscular coordination simultaneously, speak clearly, hear normal voice conversation, see near and far, use depth perception, see small details, use a computer, and telephone.

WORK ENVIRONMENT
Employees in this classification work inside, in direct contact with public, students, and other District staff, with exposure to dust and minor contagious illnesses (cold, flu, etc.), with a high volume of work and tight deadlines, and with continuously changing priorities and interruptions.

Minimum Qualifications

Education:
Graduation from high school or evidence of equivalent educational proficiency.

Experience:
Six months of clerical experience.

COVID Vaccine Requirement
Per Board policy, employees are allowed on District campuses or facilities only if they are fully vaccinated. This resolution applies to all applicants upon hire. Applicants are required to show proof of COVID-19 vaccination status to the Personnel Commission Office on the date of the examination. Applicants will not be allowed to take the examination without being fully vaccinated. People are considered fully vaccinated two weeks after completion of a vaccine.


General Information
The screening process for this position, which may be subject to modification, will include some form of an application screening, initial screening of qualifications, documentation/certification screening, and in some instances supplemental application screening. The stated qualifications for the position represent only the minimum requirements and do not guarantee qualification for examination or placement on an eligibility list.

The examination may consist of any combination of the following: training and experience evaluation, written knowledge test, hands on/performance test, structured panel interview, situational judgement interview, or other type of exam of fitness for duty. All parts of the examination process are job related. A passing score must be attained on each portion of the exam to advance to the next stage and ultimate placement on the eligibility list, which depending on the classification, may be in force for six months or one year.

Paid Holidays

Up to 16 holidays per year depending on months worked for all classified employees.

Paid Vacation
Vacation is prorated for all classified employees, based on the hours and months worked per year. Below is the vacation schedule for classified supervisors and classified staff.

Classified Employee Vacation Chart
1-5 years of service

  • One day of vacation will be earned per month worked.

6-10 years of service

  • One and one-quarter (1 ¼) days of vacation will be earned per month worked.

11-15 years of service

  • One and one-half (1 ½) days of vacation will be earned per month worked.

16-20 years of service

  • One and three-fourths (1 ¾) days of vacation will be earned per month worked.

21 + years of service

  • Two (2) days of vacation will be earned per month worked.

Health Benefits
For positions 35 hours or more per week the District contributes $12,900 (subject to change) toward annual premium for medical, dental, vision and life insurance coverage. Partially paid benefits are available for part-time (20-34) hour employees. The District participates in the Public Employees' Retirement System (PERS). Lifetime retirement benefits provided for eligible retirees.

The following benefit providers are available for enrollment for eligible employees.

  • Medical: Kaiser, United Health Care PPO/HMO
  • Dental: Delta Dental (PPO) or DeltaCare USA (HMO)
  • Vision: Vision Service Plan (VSP)
  • Out of pocket costs are dependent on which provider is selected. Each provider has a different annual premium.

Paid Sick Leave
Every regular classified employee, probationary or permanent, can earn paid sick leave credit(s) based on one day for each month in which such employees are in a paid status with the District. Earned, but unused sick leave can accumulate without limit. Full-time classified employees (those who work 8 hours per day, 5 days per week and 12 months per year) will normally earn twelve (12) days of sick leave credit(s) during each fiscal year.
