The Legislative Services department has an opportunity for qualified individuals to apply for the Administrative Assistant position. Reporting to the Corporate Officer/Manager of Legislative Services this position offers 72 hours bi-weekly starting as soon as reasonably possible, until November 1, 2025.
The Administrative Assistant role provides administrative support to the Legislative Services Department (LSD) through the administration, collection, maintenance and retrieval of permanent physical and electronic legal records and corporate documents. The role is involved in coordinating the Community Enrichment Program, overseeing the grant program, acting as the recording secretary for the Governance and Ethics Standing Committee of Council, preparing official documents for signing and general administration of core services delivery of the LSD. This position also provides support for Committees of Council and is responsible for maintaining Committee membership records. This position also assists the Council Coordinator with Council packages and meeting preparation and the organization of events, conferences and elections.
Qualified candidates possess a grade 12 diploma and courses in Administration, Local Government Management and/or Records Management supplemented by at least 3 years of experience in a similar role. Qualified candidates also possess strong proficiency with Microsoft Office, SharePoint Online and Adobe Pro; knowledge and experience with formal filing systems, records and information management principles and practices; some knowledge of public administration and of the Local Government Act and Community Charter; and the ability to apply LGMA records management best practices and train others. Previous experience in a local government setting and knowledge of the Whistler resort community are considered an asset.
The successful candidate demonstrates excellent verbal and written communication skills and is a professional and helpful individual with a high degree of tact, diplomacy, and discretion with the ability to maintain confidentiality. Also, has proven abilities to handle urgent requests and work within firm deadlines. The successful candidate demonstrates commitment to promoting a diverse and inclusive workplace and will create and maintain effective working relationships with others while contributing to a positive environment. The starting wage for this job position is $34.87 per hour.
As a requirement of the position, the successful applicant must provide a satisfactory Police Information Check prior to beginning employment.
