The City of Pearland, Texas, is seeking to hire a full-time Administrative Assistant to assist with the day-to-day operations of our Purchasing division within our Finance Department. The Administrative Assistant earn a competitive salary of $18.66 - $20.20/per hour, based on qualifications. Additionally, the city pays all premiums for our employees' dental, long-term disability protection, and life insurance, plus the majority portion of the medical premium for employees and their dependents. A DAY IN THE LIFE OF AN ADMINISTRATIVE ASSISTANT

Job Summary

General Description: The Administrative Assistant is responsible for performing routine clerical and administrative functions for a department or office. This role requires independent work methods and sequences under general supervision.

Key Responsibilities

  • Scheduling, Documentation, Pcard, and Purchasing Calendar Management: Coordinate and schedule appointments and meetings. Efficiently oversee both paper and electronic filing systems, ensuring records are regularly updated and essential documents are maintained. Administer and manage Pcard (Purchasing Card) transactions, ensuring adherence to financial policies and proper documentation of expenses. Additionally, take responsibility for managing the purchasing calendar, ensuring timely procurement activities and adherence to scheduled purchasing plans and deadlines.
  • Database and Office Equipment Handling: Create, maintain, and enter information into databases. Operate and arrange repairs for office equipment like fax machines, copiers, or phone systems.
  • Financial and Administrative Duties: Prepare purchase orders, invoice batches for payments. Handle purchasing Public Information Requests. Process purchase requisitions, field purchase orders, and manage accounts payable vendor process.
  • Budget and Payroll Assistance: Monitor purchasing division budget, assist in preparing payroll, and manage office supply inventory.
  • Reporting and Emergency Management Support: Complete various reports (weekly, monthly, annual) and assist in emergency management exercises.

Minimum Education And Experience Requirements
