The Administrative Assistant works in a hybrid role (3 days in office and 2 days at home) completing day-to-day administrative tasks and activities, collaborating with various business groups within the branch on relevant business initiatives.

DUTIES AND RESPONSIBILITIES

  • Responsible for completing and managing employee files after the recruitment and onboarding process such that all required documentation, including copies of current professional registrations and other relevant materials
  • Maintain and manage employee databases in various tracking systems (Excel and UKG)
  • Maintain past employee human resources files in conjunction with the designated supervisor/manager
  • Triage payroll and benefits-related inquiries and assist employees to complete forms
  • Assist Clinical Managers with administrative tasks and responsibilities
  • Participate in ongoing internal and/or external continuing education activities
  • Adhere to Bayshore Policies and Procedures
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System
  • Maintain confidentiality of employee, client and corporate information and discuss same only with appropriate Bayshore personnel

Education
Completion of Grade 12 Diploma is required. Human Resources Certification or Business Administrative Diploma would be an asset

Other Skills and Abilities
Exceptional interpersonal skills and ability to handle difficult situations in an objective consistent format; ability to work independently and as part of a team; competency in keyboarding and Windows software; ability to operate all standard office equipment; commitment to continued learning. Experience with MS Office, Excel and UKG Software is an asset.

Fluency in written and spoken English is a requirement, Fluency in French is an asset.
