Administrative Assistant III

Our Transportation Department is looking for a dedicated Administrative III to join the team.
Position Responsibilities
As your main responsibility will be processing financial documents, you will be working closely with several vendors and customers and will need to provide the highest ethical and professional behavior in assisting and working with customers, co-workers, and outside agencies associated with the City of Grande Prairie. You must have knowledge of accounting principles and have the ability to learn several different software programs.
This position will input and manage statistical data for department operations and performance, participate in appropriate in-service and workshop programs, and attend any required meetings, and provide meeting coordination and logistics (including scheduling, preparing agendas, taking minutes and follow-up of action items).
You will be apart of a high efficient administrative team and will be expected to develop, build, foster, and maintain positive working relationships with administrative staff, department managers, and other staff across the organization. Since you will be part of a team, all administrators will provide cross-training to be able to provide support and backup in the event of a staff member's absence.
Qualifications
- Office Administration Diploma or
- Business Administration Certificate or
- A minimum of 3 years experience working in a busy office environment in an administrative capacity is required
- Experience in a municipal setting is an asset
- Demonstrate attention to detail and strong analytical skills
- Extensive experience with Microsoft Office Suite is required
- This role requires a focus on continuous improvement and methodologies
- Ability to work in a fast-paced environment with frequently changing priorities, which will require exceptional organizational skills with the ability to multi-task and manage multiple priorities efficiently
- Ability to work both independently and as part of a team, while exercising good/independent judgement; demonstrating initiative and being proactive is critical
- Strong communication skills (written and verbal) are essential
- Must have a proven ability to present yourself in a positive, clear and professional manner. You may be required to present to groups and provide training on administrative functions
- To effectively work with individuals across such a large service area you must also have strong interpersonal, networking and collaboration skills

Hours
The standard workweek consists of an average of 35 hours, with the specific schedule being determined by the immediate supervisor.
Compensation
Starting Salary $29.88 per hour as per the Out-of-Scope Agreement.
