We are seeking a highly motivated and organized individual to join our GBGH Crew as an Administrative Assistant for the People Services Team. Your responsibilities will include handling administrative tasks, maintaining employee records, and assisting with onboarding, recruitment and various other aspects of human resources. You will play a key role in keeping the department’s daily operations running smoothly. This role will work closely with the People Services Leadership team, which includes the Vice President of People & Culture, the Manager of People Services, Staffing and Payroll, and the Manager of People Experience and Workforce Analysis.

Job Requirements:
KEY ACCOUNTABILITIES & RESPONSIBILITIES
Your key responsibilities will include, but are not limited to:
- Providing support to the HR department and all employees related to HR questions, issues and concerns.
- Coordinating meetings, including the generation and distribution of meeting minutes.
- Providing project management assistance to leaders.
- Offering clerical support for policies & procedures, distributing correspondence, and assisting in departmental meetings.
- Supporting the management team with all administrative requests.
- Preparing presentations and various correspondence.
- Ensuring employee records are up to date and maintained in an orderly fashion.
- Running compliance reports
- Assisting with monthly orientation
- Maintaining the online education and training system.
- Undertaking additional duties as needed to support the team.
QUALIFICATIONS & EXPERIENCE
We are seeking a candidate who demonstrates excellence in administrative support, possessing the following attributes:
- Diploma in Human Resources Management or equivalent post-secondary education.
- Minimum of 1-year Experience in a Human Resources Office Environment.
- Advanced Microsoft Office computer skills (Excel. Word, PowerPoint)
- Previous experience in applicant tracking systems, and in a unionized healthcare environment would be an asset
- Experience in a hospital environment preferred.
- Knowledge of UKG would be an asset.
- Knowledge of Surge Leaning would be an asset.
- Strong knowledge in administrative principles and practices
- Knowledge of employment legislation (i.e. Employment Standards Act; Human Rights)
- Strong skills in management of administrative practices.
- Excellent interpersonal skills and communication including tact and diplomacy when responding to telephones, greeting visitors and attending meetings.
- A commitment to upholding confidentiality and handling sensitive information with the utmost discretion and professionalism.
- Excellent proof-reading abilities.
- Strong organizational, prioritization and time management abilities to ensure that assignments are completed with deadlines and established time frames.
- Strong planning and coordinating abilities to ensure booking meeting rooms and scheduled luncheons are coordinated successfully.
- Strong problem solving and analytical skills to determine effective ways to present correspondence, reports, charts, tables and presentations.
- Attention to detail reviewing all materials.
- Proven good attendance record with the capability of maintaining this same standard
- A deep alignment with the values and purpose of GBGH, demonstrating a dedication to fostering a culture of excellence.
- Fluency in French, even at a partial level, is viewed as a valuable asset in this role, enhancing the candidate's ability to engage with our diverse community and stakeholders.
