Job Description
Global Trade Operations (GTO) is a commercially focused, results driven team. We work with our global & market cross functional teams and the supply chain organization to provide optimal levels of customer experience and performance for our trade customers.
- Understands the goals and objectives of the entire department and contributes to the attainment of those G&O's.
- Coordinates the preparation of annual budget reviews, monthly budget reviews and on an ongoing basis may track department budget as directed by immediate manager Keeps the bigger picture in mind and influences workflows accordingly.
- Organizes and schedules extra-departmental meetings.
- Responsible for coordinating large events which includes the planning, organizing and implementation support to the meeting lead.
- Demonstratable proficiency in Microsoft Office. Under manager’s direction, creates draft reports, documents, presentations, and templates from raw data.
- May assist with facilities space planning or office set-up.
- Assists in the orientation of new administrative assistants and other staff.
- Acts as a resource to other administrative assistants and is cross trained to cover for another administrative assistant if they are out of the office for an extended period of time.
- Provides administrative and clerical support to an individual manager, department, or group of managers as appropriate. Which includes diary management for the departmental lead.
- Liaises with external agencies or organizations to coordinate activities which are important to the function of the department.
- Supports external vendors and contractors with their contracting and invoicing needs.
- Raise and manage PO’s for the department as required.
- Maintain distribution lists required by the department.
- This role is based in Stockley Park, Uxbridge and is an office based departmental role which will need to comply with Gilead’s office hours policy.
