We are seeking an Administrative Representative to join our Northern Generation Department in Gillam, Manitoba.

Responsibilities:

  • Perform all the administrative functions associated with the day-to-day operation of the Northern Generation Department
station. Time slip entries, mail sorting, leave requests, expense accounts, VISA transactions and reconciliation,
disbursements, petty cash, lodging and transportation bookings, etc.).
  • Assist the Department Manager with setting up and maintaining processes that ensures the effective management of time
spent on plant administrative activities (control the flow of paperwork, handle recurring items, maintain follow-up
correspondence, etc.).
  • Interpret Union Agreements and Corporation Policies and answer inquiries on matters in a prompt and courteous manner for
station staff.
  • Establish and maintain an effective line of communication and act as liaison for line management, employees with other
departments in the Division, Human Resources, Safety, and Employee Pay & Benefits.
  • Maintain records of vacation, bank time, sick leave, family responsibility leave, northern trips (including tax reports) and
maintain all Station safety training records for all employees, and responsible for extracting report data on HRMS relative to
the above.
  • May be required to be a member of the WS&H Committee representing the Station, including Recording Secretary and
maintain safety files for the local SMS team.
  • May be required to provide stores assistance and support in the absence of the site storekeeper.
  • Participate in the Department's Business Planning process and will be required to compile presentations for the quarterly and
annual reviews using PowerPoint.
  • Type a variety of correspondence and handle confidential information with security.
  • Maintain records, files, and manuals with respect to the general operations of the plant and the Environmental Management

System, record minutes and deliver in a timely manner.

Qualifications:

  • Minimum Grade 12 education or equivalent plus a minimum of two years directly related office experience.
  • Ability to prioritize tasks and operate with a minimum of supervision and direction.
  • Capable of dealing in a firm, tactful, and courteous manner with the public and staff by phone or personal contact.
  • Familiar with computer software such as EAM, Microsoft Word, Excel, PowerPoint, Windows, SAP, HRMS, E-forms, and other
relative software.
  • Ability to select material according to general instruction and to tabulate or type that material in the prescribed form.
  • Familiar with the application and interpretation of Union Agreements and Corporation Policies.

Salary Range

Starting salary will be commensurate with qualifications and experience. The range for the classification is $26.01-$34.06 Hourly,
$49,837.58-$65,262.08 Annually.
