Function

We are seeking an organized and detail-oriented Administrative Support Specialist to join our team. The ideal candidate will provide comprehensive assistance in booking employee travel arrangements, managing accommodations, coordinating vehicle rentals, and assisting various Human Resources tasks. This role requires excellent communication skills, strong organizational abilities, and a proactive approach to support both administrative and basic HR functions.

Key Responsibilities:

  • Travel Arrangements: Arrange and manage all aspects of employee travel, including flights, accommodations, and transportation arrangements.
  • Housing Coordination: Coordinate temporary housing for employees as needed, ensuring accommodations meet company standards and budgetary guidelines.
  • Vehicle Rentals: Facilitate vehicle rental bookings for employees, ensuring timely reservations and adherence to corporate policies.
  • Human Resources Support: Assist HR department with administrative tasks
  • Documentation Management: Maintain accurate records of travel itineraries, housing arrangements, vehicle rentals, and HR-related documents.
  • Communication: Serve as a point of contact for employees regarding travel arrangements and HR inquiries, providing timely and helpful assistance.

Requirements

Requirements:

  • Graduate from a recognized office administration program or an equivalent combination of education, training and experience.
  • Proven experience in administrative support roles, preferably with exposure to travel coordination and HR tasks.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with HRIS (Human Resources Information Systems) software.
  • Strong organizational skills with the ability to multitask and prioritize workload effectively.
  • Excellent communication abilities, both written and verbal, with a customer-focused approach.
  • Attention to detail and a commitment to maintaining confidentiality of sensitive information.
