To qualify for this position, candidates must meet or exceed the following minimum qualifications:

  • High school diploma or equivalent (Required)
  • Five (5) years of previous Document Control experience within a regulated manufacturing industry (Highly Preferred).
  • Five (5) years of previous Document Control experience in a Quality Control or Quality Assurance role within a regulated industry (Highly Preferred).
  • Excellent verbal, written, and interpersonal communication skills as well as the ability to interface with all levels of management and subject matters (Required).

Essential Duties And Responsibilities

  • Manages the assignment, distribution, tracking, and closure of NCR's, ensuring all documentation is complete.
  • Works with department personnel to ensure NCRs are closed according to SOP timelines.
  • Manages the Standard Operating Procedure (SOP) Program to ensure all documentation is current, and in compliance with current business practices.
  • Creates, revises, and issues SOPs according to Cosmax NBT USA procedures.
  • Reformat SOPs and associated forms to comply with approved templates.
  • Coordinates with department management regarding the training materials needed for SOP compliance for new hires and existing employees as SOPs are revised.
  • Maintains the Master SOP Matrix.
  • Coordinates with department management regarding the training materials needed for SOP compliance for new hires and existing employees.
  • Coordinates the employee training involved with new/revised SOPs.
  • Maintains the Cosmax NBT USA current employee training list.
  • Maintains the training files for Cosmax NBT USA employees.
  • Responsible for generating, organizing, scanning, archiving and maintaining quality-related documents such as audit documents, COO, CFS, apostille, and production documents.
  • Responsible for updating and filing changes to raw material and finished product specifications.
  • Special projects as assigned by the Quality Manager/Supervisor.

Minimum Knowledge, Skills, & Ability Requirements

  • Excellent verbal, written, and interpersonal communication skills as well as the ability to interface with all levels of management and subject matter experts from different departments.
  • Excellent organizational skills. Attention to detail with the ability to handle multiple projects and priorities while working under pressure in a fast-paced manufacturing environment to meet deadlines.
  • Excellent Time Management skills. Has the ability to handle multiple priorities through time management, working under pressure in a fast-paced manufacturing environment to meet deadlines.
  • Excellent Project Management skills. Has the ability to handle multiple projects and meet project deadlines.
  • Ability to work in a teamwork environment in addition to working independently with limited supervision at times.
  • Must be computer literate and proficient with Microsoft Office and its programs such as Microsoft Word, Excel, and Outlook.
  • Able to use logic and reasoning to identify solutions to problems.
  • Take initiative and seek additional training or direction as needed.
  • Must be willing to abide by Cosmax NBT USA's policies and procedures, including those that are safety-related.
  • Self-directed, goal-oriented, and flexible, enjoys working in a fast-paced and at times challenging environment.
  • Ability to work cross-functionally and with a wide range of employees with different skill sets.
  • Perform other duties as assigned.

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent (Required).
  • Five (5+) plus years as a Document Control Specialist role within a regulated manufacturing industry or five (5+) plus years in a Document Control Specialist role and Quality Assurance role combined, within a regulated manufacturing industry.
  • Excellent verbal, written and interpersonal communication skills as well as the ability to interface with all levels of management and subject matter experts from different departments.
  • Excellent organizational skills. Attention to detail with the ability to handle multiple projects and priorities while working under pressure in a fast-paced manufacturing environment to meet deadlines.

Work Environment

Manufacturing work environment. Constant physical activities are required for this position. Able to tolerate working environment with inside hot and cold temperatures.

Physical Demands

Activities include the ability to reach overhead, squat, and bend at the waist; the ability to lift 50 pounds or more; the ability to climb up and down stairs throughout a shift; tolerance of standing posture continuously during shift; and intense walking. Dexterity for manipulating work materials; repetitive motion; proficiency in reading, writing, and speaking English. Ability to respond to safety signals, such as those generated by forklifts.
