We are recruiting for a Hotel and Travel Officer who will work closely with the Crew Planning Team, the Customer Disruption Officers within the Integrated Control Centre (ICC) and report to the Senior Hotel and Travel Officer. In this role, you will be the expert on crew bookings, ensuring our crew have their hotel and transport arrangements booked and communicated in a cost-efficient yet considerate manner, while ensuring compliance with aircrew roster legalities.
You will manage crew roster travel and hotel needs, ensuring compliance with legal, company and industrial agreements. This includes handling ad hoc hotel and transport requests, overseeing daily Hotel and Travel System (HATS) management, approving charges, and coordinating third-party hotel requests. Regularly running HATS/Airline Information Management System (AIMS) reports, amending rosters for compliance, and monitoring hotel and transport availability are essential tasks.
You will respond to complaints, investigate safety issues, book crew positioning flights, and manage the Government Repatriation program and immigration requests. Additionally, you will maintain relationships with hotel and transport providers, manage invoice reconciliation, stay updated on regulatory requirements, perform UAT testing, and support the Senior Hotel and Travel Officer and the Crew Planning Support Manager.
What you need to do this role
We are looking for a candidate with at least 18 months of experience in commercial travel, hotel booking, planning, or operational delivery. You should be a team player who can constructively challenge to improve roster quality and have a questioning mind to identify potential improvements. Strong customer focus and self-reliance are essential, along with the ability to handle multiple requests with changing priorities. A detailed understanding of commercial travel or hotel booking systems, cost consciousness, and confidence to challenge budget requirements are crucial.
Proficiency in Microsoft Excel is required, with Agresso experience desirable. You should be able to understand schedule design, ensure accuracy and attention to detail, and have knowledge of FTL schemes, Fatigue Risk Management, or other crew compliance regulations. Cross-functional working ability is also important.
