Wood Process & Energy is recruiting for an Office Administrator to provide an office administration and facilities administration service for internal and external stakeholders for the Ellesmere Port business as a whole and the projects that we deliver.

This is a part time permanent role, with 15-20 hours per week covering Wednesday, Thursday & Friday based in the Ellesmere Port office.

Key Aims

  • To run the office administration services to ensure the office complies with HSE procedures for a Wood facility
  • To run the office administration services to ensure employees within the office have access to all their general facilities requirements to allow them to get on with their jobs productively
  • To run staff accommodation and travel bookings
  • Trade & Craft time writing administration
  • Support document control duties for live projects

Key Responsibilities

  • Support front desk management
  • Focal point for landlord and service contractor coordination.
  • Responsible for ordering office/access control supplies. Coordination of general office IT issues
  • Book travel and accommodation for staff as requested. Look for most economically suitable solution and ensure requests get line manager approval
  • Maintain the upkeep of the suite of office HSSE documents, HSSE stats as per the frequency of reviews, in conjunction with HSSE dept
  • Administration of office systems, such as Cloud Booking, Microsoft Teams
  • Requisition facilities maintenance as and when needed. Maintain records on Teams.
  • Undertake office safety inspections. Maintain records on Teams
  • Administrative assistance to senior manager
  • General Contract administration support

Skills/Qualifications

  • Experienced in office administration
  • Experienced in Microsoft Teams, Word, Excel software and maintaining records
  • Experience in office management/administration

  • Detail-oriented with excellent customer service and communication skills that transfer to positive working relationships with clients, co-workers, tenants, contractors, and vendors
  • Proficient with software related to word processing and spreadsheet preparation. Consistently and effectively works as a team player with a high level of professionalism
