As an Office Clerk , you provide Administrative and Mailroom support to the Administration Manager and other team members. To be successful in this demanding role you will have strong communication skills and be able to multi-task in a fast-paced environment and able to make a positive impact on key responsibilities, some of which will include the following:

  • Completes a broad variety of administrative tasks for the Administration Manager, and support other Managers as needed.
  • To process information by formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics. Microsoft Excel skills necessary.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Assist in preserving and maintaining files
  • Ensuring that vendor accounts are paid and kept up to date;
  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Creates reports regarding the current status of customer accounts as requested.
  • Providing confidential administrative and clerical support to the City Manager.
  • Retrieves and sorts mail, including packages, by department and category.
  • Delivers mail to correct department or recipient.
  • Forwards misdirected mail.
  • Prepares documents and other items for shipping.
  • Weighs mail and calculates correct postage.
  • Uses mail sorting and postage meter machines.

Required Experience

  • High school diploma.
  • Minimum of two years of general office experience.
  • Microsoft Office skills are required
  • Must have strong administrative skills

Required Knowledge, Skills and Abilities:

  • Must be able to communicate clearly, accurately, and effectively both orally and in writing.
  • Must be able to interact professionally with all levels of management.
  • Administrative or secretarial education/experience a plus.
  • Ability to multi-task in a fast-paced environment.
  • Self-motivated, requiring little direct supervision.
  • Solid PC skills including Microsoft Office (Word, Power Point and Excel).
  • Demonstrated ability to learn new tasks and responsibilities.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
