We have an exciting opportunity for a Receptionist to join our Story Scotland division based from our Blantyre office - and there has never been a better time to join!

The Role

As a Receptionist at Story Contracting the hours of work are permanently office based due to covering reception. The hours are Monday to Thursday 08:00 – 16:30 and Friday 08:00 – 15:30 with a 30-minute break each day. As this vacancy is a part-time role covering 24 hours, this will be over 3 days on the above mentioned working hours. The days can be agreed at interview stage as we are flexible on which days these are.

In this role you will be required to:

  • Undertake reception duties, welcoming visitors and responding to queries from our people
  • Answer the telephone switchboard and directs calls
  • Open and distribute mail, frank mail and take to the post office
  • Create, review and update the Reception Manual and Office Maintenance folders
  • Act as Fire Warden – follow the HSQE and fire alarm procedures including conducting the weekly fire alarm test
  • Organise room bookings and assist with any VC issues
  • Order office supplies and keep an eye on stock
  • Order lunches for meetings
  • Book accommodation and travel
  • Manage EV charge points and pool car bookings
  • Support Office Manager with general office admin
  • Manage reception calendar and rota
  • Any ad-hoc admin duties as required

The ideal Candidate:

  • Understanding of the demands, service standards and day-to-day operations of a busy office
  • Awareness of HSQE policy and practice
  • Understanding of the function and responsibilities of front of house reception
  • Experience of working in a reception/customer facing role and providing office services
  • Experience of using Microsoft Office – especially Word, Excel and Outlook.
  • An organised approach to work and time-management
  • Self-motivated, solution focused, showing initiative and responsibility
  • Team worker, with flexibility to work with others to achieve objectives and shared responsibilities
  • Ability to co-ordinate multiple events, tasks and responsibilities and remain calm under pressure
  • Ability to manage own workload within given deadlines
  • Excellent interpersonal skills with the ability to build and maintain effective relationships with people from a wide range of backgrounds
  • Good level of literacy and numeracy with high attention to detail
  • A confident, outward looking, proactive communicator
  • Ability to respond quickly, calmly and discretely to problems and transmit confidence and professionalism
  • Car owner/ driver essential
