This Opportunity:

The Receptionist & Office Administrator will sit at our front desk in Palladium’s London office, greet our staff and clients, and provide reception, facilities and administration support to the team.

The position is based in Palladium’s London office.

Reporting Lines:

You will report to the Manager, Facilities and Office Services.

Primary Roles and Responsibilities:

  • Support the day-to-day reception, facilities and office administrative tasks.
  • Assume office receptionist duties; meet and greet visitors and direct them to appropriate staff members or meeting room.
  • Arrange meetings by reserving rooms, set up facilities and providing refreshments if required.
  • Answering all incoming telephone calls, act as gatekeeper and pass on the necessary details by email.
  • Answer the office audio entry system and act as gatekeeper. Support the allocation of office access passes
  • Various photocopying, scanning, shredding and binding of important company documents.
  • Assist to keep the office safe and that all general office equipment is maintained and/or cleaned as required.
  • External duties, various office errands.
  • Procurement of office sundry, stationery and other supplies
  • Uphold the clear desk policy and put away unused items.
  • Uphold the office recycling policy.
  • Provide administrative assistance to the Manager, Facilities and Office Services.
  • Store all incoming documents in the designated places or cabinets.
  • Sorting and distributing post, check incoming paperwork (correspondence, invoices) before distribution or filing.
  • Arrange Couriers and ensure deliveries are managed through the loading bay and/or reception
  • Keeping the office safety log book and the medical supplies up to date.
  • Perform any other tasks as assigned by the Manager, Facilities and Office Services.

Key Competencies Required:


  • A good standard of education including English language skills, both written and verbal, with the confidence and ability to communicate clearly with a wide range of contacts.
  • A good standard of Math’s and IT experience with MS office, MS Teams and confidence with other systems.

Professional Expertise/Competencies Preferred:

  • Interpersonal and communication skills with the ability to build and maintain collaborative internal and external working relationships.
  • Organisational and time-management skills.
  • Customer service orientation - someone who tackles requests and issues with a can-do attitude.
  • Clear confident and polite telephone manner.
  • Ability to deal with difficult calls in a calm and professional manner.
  • An awareness of confidential issues.
