Workshop Office Planner / Administrator

Ferguson Transport & Shipping are currently recruiting for an Office Planner & Administrator to work within their Maintenance Facility Office, based at Corpach, Fort William.
The ideal candidate must be self motivated, organised, flexible and a good communicator. Team working is essential as well as working on their own initiative.
Duties will include:
- Planning weekly inspections/service visits to the workshop for the fleet (Units, trailers, plant, cars, vans) and liaising directly with traffic office
- Book in vehicles and input job cards into the Accelerator system
- Create daily/backshift/weekend schedules
- Taking phone calls and entering provisional service bookings
- Liaise between drivers either on the phone or at the workshop reception
- Liaise with other workshop members including managers, mechanics and stores personnel
- Assist with service/warranty bookings (Scania / Volvo)
- Assist with breakdown management, contractors and Mandata
- Checking and filing defect sheets ensuring all drivers are completing defect sheets
- Tyre stock reconciliation / wheels off
- Entering details of productive hours from job sheet to electronic inspection records
- Assisting with meeting and greeting all visitors on site including visitor inductions, when required
- Deal with external customers, book in 3rd party contract or ad-hoc work, when required
- General clerical duties to include filing / photocopying / stationary audits / first aid audits etc.
