About the Role
Longfield Medical Centre are seeking an experienced Administration Assistant to join our busy administration department on a part-time basis, working Monday, Tuesday and Wednesday, 09.00 – 17.00.
The role requires the completion of general medical administrative tasks and significant amounts of multi-tasking. The post holder will therefore need to be hard-working, conscientious, with excellent attention to detail. They will also be able to work comfortably, both independently and as part of a team.
The main responsibilities of the role include:
- Undertaking a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team;
- Data entry and read coding of relevant patient information and medical data into the clinical system;
- Scanning patient information into computerised records, including medical documents, hospital records and letters, as necessary;
- Read-coding the information into the partnership's clinical system;
- Retrieving paper notes as requested;
- Photocopying documents as required;
- Dealing with referrals to primary care;
- Actioning tasks set by clinicians and the practice manager;
- Processing practice post and emails;
- Reviewing and summarising medical records;
- Registering new patients;
- Covering reception, as and when required;
- Handling phone enquiries efficiently.

- Excellent IT and typing skills;
- Adaptable and friendly, with strong administration, time management and organisational skills;
- Excellent communicators able to work in a confidential and discreet manner;
- Able to "think on their feet" in a busy working environment;
- Able to multi-task, work hard and maintain a high level of attention to detail, when under pressure;
- Able to work as part of a multi-disciplinary team, as well as comfortable working independently.
- Ideally have experience of working in Primary Care and have knowledge of SystmOne.
