Your new role
We are currently seeking a motivated and enthusiastic Administration Assistant to join our tight-knit team at our Gilgunya Facility on a Part Time basis. The role will be in charge of providing administrative support to the manager and coordinators. In this dynamic position you will also ask to develop and maintain the administration functions and records at the Hostel.
Your roster will be as follows:
Week 1 & 2: Monday, Tuesday & Friday (0900-1700)
Your responsibilities and duties will include:
- Using Wintringham’s financial accounting software you will be responsible for:
- Updating and maintaining the hostel’s resident database.
- Processing of resident rental billings and payments.
- Attend to resident and Head Office enquires as and when they arise.
- Processing of invoices to the Accounts Payable module for external services and Wintringham
- Take responsibility for reconciling petty cash and attend to banking as well as other weekly/monthly returns to head office administration.
- Act as a receptionist at the RAC home, including answering telephone calls and taking messages or redirecting calls, liaison with residents and the general public.
- Collect mail from post office and organise distribution.
- Have a general understanding of word processing functions to enable the production of memorandums and letters.
- Photocopying, filing and other general duties as required.
- Complete relevant data as required by head office.
- Update manuals and other documents as required.
- Manage the courier services and any other special delivery requirements.
- Reconciliation of the company’s operating and other trust accounts.
What we will require from you:
- Excellent administration skills (previous experience in a similar role within aged care/health care is highly advantageous)
- Strong Financial management skills
- Attention to detail
- An understanding of Aged Care processes
- The ability to prioritise tasks and time manage efficiently
- Strong IT skills and great knowledge of Microsoft Office suite
- Excellent communication skills
- A caring and non-judgmental approach with the ability to work with people from varying socio-economic backgrounds
