The Role

Job Summary: We are seeking a dedicated Administrative Assistant to support the daily administration of our student residences. The successful candidate will ensure that our halls are maintained in optimal condition, providing exceptional service to residents. Key responsibilities include handling communications, managing customer service, and ensuring compliance with health and safety policies.

Key Responsibilities: The Administrative Assistant will support with managing inbound and outbound communications, including telephone, email, postal, and in-person queries, ensuring prompt and professional responses. They will manage the composition and distribution of communications through various media, including social media and website updates. The role involves assisting with room inspections for damage and prohibited items, managing financial requisitions and purchase orders, and maintaining records in line with departmental procedures.

Customer Service and Operations: This role demands a high standard of customer service for students, guests, and visitors, adapting seamlessly between term time and vacation operations. The Administrative Assistant will liaise closely with other hall staff and departments to ensure effective service delivery and consistency. Duties also include attending meetings, compiling agendas, and taking minutes as required.

General Administrative Duties: The Administrative Assistant will handle general administrative tasks such as filing, archiving, and stock control of stationery and consumables. They will identify any areas of concern to the Hall Manager and Assistant Hall Manager, ensuring all activities comply with national and local health and safety policies. Additionally, the role may involve any other duties consistent with the post's grade and scope, as required by the Hall Manager.
