Administrative Assistant Part-Time (12-Month Contract)

JOB DESCRIPTION
The Corporation of the City of Orillia has an opening for a temporary part-time position of Administrative Assistant in the Fire Department for approximately 12 months.
DUTIES
- Assist and provide back-up administrative support to the Executive Assistant on tasks such as timekeeping, vacation scheduling, accounts payable, billing, and uniform orders.
- Handle telephone and front counter inquiries as well as respond to and direct inquires for file searches, fire reports and inspections.
- Schedule meetings, station tours and community events.
- Setup and prepare invoice and purchase requisitions and complete revenue deposits.
- Assist the Department with researching and drafting correspondence, reports, contracts, presentations, and public education materials.
- Assist with the ordering and overseeing of office and station supply inventory.
- Setup and maintain departmental files and its record management system.
- Two-year Community College diploma in Office Administration.
- Working experience in a municipal environment would be considered an asset.
- Excellent computer skills using Microsoft SharePoint and MS Office Suite, including Outlook, Excel, Word, PowerPoint, email, and the internet.
- Excellent organization, interpersonal, communication, comprehension, and time management skills as well as the ability to work effectively in a team setting and individually.
- The ability to multitask and prioritize under stringent timelines.
- A current and acceptable Criminal Record Check is required for this position at the incumbent's expense, prior to the employment commencement date.
