Box Office Coordinator

We are seeking a Box Office Coordinator to join the Visitor Experience team at Waddesdon, and be responsible for acting as the primary point of contact for visitor bookings as well as enquiries for various elements of the property. You’ll provide the highest standard of customer care to visitors, responding to a high volume of calls and emails on a daily basis.

Salary - £13.33 per hour

What it's like to work here:Waddesdon’s collections are exceptionally rich in fine and decorative arts of the 18th century, assembled by three generations of the Rothschild family. Since 1957 the Manor has been owned by the National Trust and today it is managed by a charitable trust, The Rothschild Foundation, under the chairmanship of Dame Hannah Rothschild.
This is a full-time property-based role, with a minimum of 37.5 hours per week, Tuesday-Saturday.
The safety and wellbeing of children, young people and vulnerable adults are of the utmost importance for any role at the Rothschild Foundation, Waddesdon Manor. Consequently this position will require an enhanced Disclosure and Barring Service (DBS) check to uphold the safety and security of all our guests, staff and volunteers.What you'll be doing:You’ll act as the primary point of contact for the organisation, fielding enquiries, feedback, and complaints to relevant departments. You'll be responsible for collating and recording appropriate responses, and respond to a high volume of correspondence. Ensuring that you maintain an exemplary level of customer service at all times, you’ll also establish the best practice for box office policies and procedures, developing and implementing these where appropriate.
Monitoring and reporting booking and sales trends will be a key part of the role, and you'll help inform future programming and marketing decisions throughout the year. The role will require you to regularly test and check our website and online ticketing system to make sure we react to any errors in a timely fashion. You’ll liaise with our ticketing partners and raise service desk support tickets if there are errors. You’ll compile weekly advance sales reports for circulation to relevant departments in order to harness visitor trends and feedback.
During peak periods, the team are joined by seasonal Box Office Assistants, and you'll need to provide immediate line management and support to them. You’ll play an integral part in the ongoing growth and development of the Box Office, ensuring compliance with regulations to protect the personal data of visitors, staff and contractors.
Who we're looking forWe'd love to hear from you if you have:
- Operational Experience: practical operational experience in a customer facing environment, ideally in the tourism or heritage sector
- Passion for Heritage & the Arts: a genuine interest in heritage, arts management, and the natural world
- Time Management: Ability to prioritise varying workloads and time pressures. Excellent organisational skills with the ability to sensitively balance competing operational challenges. Results focused and proven self-motivator
- Visitor Experience & Engagement : excellent people skills enabling strong relationships both internally and externally, to be built and maintained. Flexible customer focused approach with experience in delivering exceptional standards of customer service
- Communication & Teamwork : be an excellent team player, working alongside and supporting colleagues. Strong written and verbal communication skills. Able to work on own initiative without immediate assistance from manager
- Technical Proficiency: advanced IT skills with experience of using bookings/ticketing systems (prior experience of administering booking/ticketing systems an advantage)

- Annual Leave – Your statutory annual leave is 28 days (20 days plus 8 public holidays), or 5.6 weeks. This will be pro-rated based on actual hours you work. If you work a public holiday, you will be paid double your hourly rate, but your statutory annual leave entitlement will reduce accordingly (i.e. you are being paid double on that date, so therefore not entitled to holiday pay or TOIL for that date).
