As a Business Assistant within our Commercial & Investment Bank team, you will provide high-level support in a dynamic and demanding environment. Your role is crucial in managing senior stakeholders' schedules, ensuring confidentiality, and maintaining a strong focus on business and client deliverables.
Job responsibilities
- Manage advanced, proactive diary scheduling, including meetings and conference calls.
- Support travel and entertainment bookings, ensuring compliance with policies.
- Handle internal and external client interactions and coordinate departmental activities.
- Collaborate with support groups and business management across lines of business.
- Utilize internal systems for data entry, reporting, and information collation.
- Oversee distribution lists, technology usage, and administrative tasks.
- Integrate into the business to understand priorities and expectations.
- Partner with assistants across lines of business for coverage as needed.
- Engage in PowerPoint presentations, projects, and training opportunities.
Required qualifications, capabilities, and skills
- Professional client handling and relationship-building skills.
- Competency in diary management with good judgment on priorities.
- Strong executive communication skills, both written and verbal.
- Experience in arranging travel and creating accurate itineraries.
- Demonstrated proactivity and ownership in the role.
- High-level technical capabilities.
- Awareness of expense systems and cost control initiatives.
- Polished, professional demeanor with the ability to work under pressure.
- Positive, common-sense approach to managing senior schedules.
- Flexibility and receptiveness to change.
- Attention to detail and delivery of high-quality results.
