Your role

Are you a skilled multitasker? Are you organized with an eye for detail? Do you know how to make sure things run smoothly?

We’re looking for someone like you who can:

  • provide high quality administrative support to executive team CIO Americas including coordinating daily scheduling and arranging meetings with senior-level managers
  • monitor Executives email inboxes which may include responding to emails as appropriate, tracking all follow-up of emails and responses and ensuring all important emails and administrative matters are addressed
  • maintain travel itineraries, prepare expense reports, and manage reimbursement process
  • provide in office support for Weehawken based team including professionally answering phone calls, field messages and direct general inquiries to the appropriate managers on the team
  • organize logistics for town halls, on-site meetings and coordinating locations, attendees, materials and communication
  • partner on key tasks related to building a new team with a focus on efficiency, organization, and positive employee experience including onboarding new employees/contractors, managing entitlement process, desk locations, and equipment set-up

Your expertise

  • professional and flexible with a positive attitude and the ability to adapt support level to needs and style of the individual managers on the team
  • strong communication skills to manage internal and external clients and individuals at all levels
  • excellent organizational skills with ability to prioritize responsibilities, identify problems and seek solutions
  • high level of accuracy and strong attention to detail
  • proactive, able to work independently to ensure all tasks are completed in a timely and orderly manner
  • strong knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook), videoconferencing/virtual collaboration platforms (e.g., Zoom, Microsoft Teams)
  • volunteers willingly to assist others, or assist as requested, based upon workload
