We are looking for an:

OFFICE MANAGEMENT ASSISTANT

We are seeking a highly organized and proactive Office Management Assistant to join our team in Birsfelden (Basel) on a part-time base (30-40%, flexible working time adjustment). The ideal candidate will be responsible for ensuring the smooth operation of our office, managing administrative tasks, and supporting our team with various organizational needs.

WHERE YOUR EXPERTISE IS NEEDED

  • Manage day-to-day office operations to ensure a smooth office organization.
  • Coordinate and schedule meetings, appointments, events.
  • Handle correspondence, including emails, phone calls, and mail on Switzerland office topics.
  • Assist in the preparation of reports, presentations, and other documents.
  • Maintain office supplies inventory and place orders as needed.
  • Welcome and assist visitors, ensuring a professional and friendly environment.
  • Perform other administrative duties as assigned.

WHAT WE’RE LOOKING FOR

  • Completed commercial education or an equivalent qualification.
  • Demonstrated experience in office management or a comparable administrative role.
  • Familiarity with office management systems and procedures.
  • Proficient in MS Office applications (Word, Excel, PowerPoint).
  • Exceptional time management abilities and adept at prioritizing tasks.
  • Keen attention to detail coupled with strong problem-solving skills.
  • Robust organizational and planning capabilities.
  • Strong communication skills in both German and English.
  • Professional and approachable demeanour.
