Job Description:


You will support the work of the Office Administrator, and the Winnipeg office. In this role you will provide support services to the Winnipeg office team overall, as well as support services on multi-discipline engineering projects.

Responsibilities will include supporting the Office Administrator’s work in the areas of: reception duties (greeting visitors to the office and handling their inquiries, answering the phone and redirecting calls), arranging staff travel (booking flights, hotels, rental cars, etc.), maintaining the boardroom/meeting room/kitchen for all functions, sourcing catering for manager review, managing the mail and incoming/outgoing couriers (receiving, opening, and distributing the mail/incoming couriers and preparing outgoing couriers), processing accounts payable invoicing and accounts receivable invoicing for our clients, and word processing with respect to project reports, letters and tender documents. You will adhere to our professional standards, and complete analysis and interpretation of data and coordination of logistics. You will also support our office safety program and records management systems, including off-site archive storage. You may assist with proposal preparation and other business development activities. You will provide general administrative assistance to our managers, engineers, and technologists, and other Winnipeg team members. You may also complete other duties as they arise.

You have an eye for detail, and assuring reports conform to project and company standards. You provide excellent internal customer service, delivering administrative support services to the team.

You will report to the Winnipeg Division Manager but work directly under the instruction and guidance of the Office Administrator.




Job Requirements:

  • Business administration/office administration diploma from an accredited post-secondary institution, or equivalent level of education and/or experience
  • 2+ years of administrative experience in a professional office environment
  • Experience in the support of projects
  • Experience in internal client service
  • Strong capabilities in Microsoft Word, Excel, PowerPoint, SharePoint, and Microsoft 365
  • Excellent oral communication skills
  • Excellent written communication skills
  • Highly detail-oriented
  • Ability to work within tight deadlines and schedules
  • Prior experience in the consulting engineering industry is an asset
