Description
The Administrative Coordinator will provide high-level support to the Executive Director and Deputy Executive Director of the Office of Legal Services. This role is crucial in overseeing the administrative process for hearing decisions and assisting with the development and implementation of specialized projects and policies. The Administrative Coordinator will also serve as the primary liaison between the Cabinet for Health and Family Services (CHFS) and external entities, ensuring that all data and information are communicated in accordance with regulations and statutes related to the administrative hearing process.

Key Responsibilities:
  • Executive Support: Assist in the preparation and review of reports, presentations, and other documentation as needed.
  • Administrative Process Management: Oversee the administrative process for hearing decisions, ensuring compliance with relevant regulations and statutes.
  • Manage the flow of documents related to administrative hearings, including tracking, filing, and distributing hearing decisions and related materials.
  • Ensure timely and accurate communication of hearing decisions to all relevant parties.
  • Liaison Responsibilities: Act as the main point of contact between CHFS and external entities.
  • Ensure that all required data and information are communicated effectively and in a timely manner to meet regulatory and statutory obligations.
  • Facilitate communication and coordination between internal and external stakeholders regarding the administrative hearing process.
  • Project and Policy Development: Assist with the development and implementation of specialized projects and policies within the Office of Legal Services.
  • Provide support in researching, drafting, and reviewing policy documents, ensuring alignment with legal and regulatory requirements.
  • Monitor the progress of projects and ensure that deadlines and deliverables are met.
  • Compliance and Documentation: Maintain accurate records and documentation related to administrative hearings, including decision logs and communication records.
  • Ensure all documentation is in compliance with regulatory and statutory requirements.
  • Prepare and submit required reports to regulatory bodies as directed.
Qualifications:
  • Experience in an administrative role, preferably supporting executive-level management.
  • Strong knowledge of administrative processes.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with a variety of stakeholders.
  • Strong organizational skills, with the ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
  • High level of discretion and confidentiality in handling sensitive information.
