Administrative Coordinator (Non-Merit)

Key Responsibilities:
- Executive Support: Assist in the preparation and review of reports, presentations, and other documentation as needed.
- Administrative Process Management: Oversee the administrative process for hearing decisions, ensuring compliance with relevant regulations and statutes.
- Manage the flow of documents related to administrative hearings, including tracking, filing, and distributing hearing decisions and related materials.
- Ensure timely and accurate communication of hearing decisions to all relevant parties.
- Liaison Responsibilities: Act as the main point of contact between CHFS and external entities.
- Ensure that all required data and information are communicated effectively and in a timely manner to meet regulatory and statutory obligations.
- Facilitate communication and coordination between internal and external stakeholders regarding the administrative hearing process.
- Project and Policy Development: Assist with the development and implementation of specialized projects and policies within the Office of Legal Services.
- Provide support in researching, drafting, and reviewing policy documents, ensuring alignment with legal and regulatory requirements.
- Monitor the progress of projects and ensure that deadlines and deliverables are met.
- Compliance and Documentation: Maintain accurate records and documentation related to administrative hearings, including decision logs and communication records.
- Ensure all documentation is in compliance with regulatory and statutory requirements.
- Prepare and submit required reports to regulatory bodies as directed.
- Experience in an administrative role, preferably supporting executive-level management.
- Strong knowledge of administrative processes.
- Excellent communication and interpersonal skills, with the ability to interact professionally with a variety of stakeholders.
- Strong organizational skills, with the ability to manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
- High level of discretion and confidentiality in handling sensitive information.
