Position Highlights

The position of Administrative Assistant is a central role for Eller MBA. A key responsibility will be to assist the Senior Associate Dean, with primary focus on schedule and coordination of multiple constituencies. The ideal candidate will bring professionalism, diplomacy, and a collaborative spirit. This position will also provide administrative support to the Academic Operations team, arranging catering for Evening MBA class sessions as well as collecting and maintaining accurate data. This position will also assist in the delivery of student events. There will be some unpredictability in this role, so a flexible mindset will be important.

Duties & Responsibilities

The Administrative Assistant will perform the following duties and responsibilities:

Administrative Support to Senior Associate Dean:

  • Manage the calendar for the Senior Associate Dean. It is a complex responsibility to meet the needs of multiple constituencies.
  • Coordinate activities of the Senior Associate Dean, ensuring logistical details are arranged and topical materials are provided as needed.
  • Develop rapport and instill confidence in Eller College and UArizona partners to optimally achieve the objectives of the Senior Associate Dean.
  • Provide guidance and assistance to students, faculty and staff as concerns arise.

Administrative Support to Academic Operations Team:

  • Arrange catering for Evening MBA class nights, which will require adjustment to work schedule to be present until 7:30 pm on Tuesday evenings.
  • Support the Academic Operations Team in the collection and reporting of data.
  • Compile student directories of MBA cohorts, which include professional pictures as well as identifying information.
  • Create certificates for the Dean's Awards and Eller Excellence Awards, an initiative to motivate and recognize academic and engagement achievement.

Events and Student Activities:

  • Support the delivery of MBA events, including arrangements for catering, venue, and thematic aspects. Events and student activities will range in scope and scale, from informal to signature events.
  • Assist with the distribution and inventory of promotional products which achieve branding and marketing objectives.
  • Ensure expenses are fully documented and compliant with UArizona policy.

Minimum Qualifications
  • High school diploma or equivalent, or equivalent learning attained through experience required.
  • Minimum of three years of relevant experience required.
