Faculty Affairs is looking for a full-time Administrative Associate to provide high quality and responsive administrative support for the Vice Provost for Faculty Affairs. Duties include document preparation, calendaring, answering and routing phone calls and email inquiries, travel arrangements, note taking, including preparing relevant materials, and performing general office work. This position will collaborate with other administrative support staff in the Office of the Provost as well as units throughout campus. This position will require a strong customer service orientation, organizational skills, and strong oral and written communication skills. The ability to manage, prioritize and follow up on multiple tasks is necessary, along with enthusiasm and a professional disposition.

Insert Duties and Responsibilities:
- Maintains calendar for the Vice Provost; regularly prioritizing and arranging meetings, conferences, and appointments; sets up Zoom and other audio- visual aids.
- Serves as point of contact for inquiries to the Vice Provost for Faculty Affairs, including phone calls and written communications (paper or electronic).
- Answers inquiries in accordance with established guidelines and forwards other items to the appropriate team member or department when necessary.
- Arranges necessary travel authorizations, reservations and itineraries.
- Coordinates with the department's business team and provides financial processing to meet the university’s policies, including preparing and submitting travel expense reimbursement in UAccess Financials, PCard paperwork and other transactions for reimbursement.
- Performs general office work, such as, mail handling, word processing, data entry, file maintenance, filing, copying, proofing, editing, ordering supplies, and monitoring office needs.
- Files the Vice Provost's correspondence; organizes and maintains electronic files in Docuware.
- Manages and maintains unit's listservs.
- Assists the Office of the Provost Events Coordinator with events associated with Faculty Affairs. Assist with set-up, event coordination, and clean-up.
- Develops good working relationships, and seeks and accepts direction as needed.
- Prioritizes tasks and workload to meet office operations.
- Ability to communicate effectively with different groups/individuals.
- Keen attention to detail and ability to manage multiple tasks simultaneously, and to follow up as needed to ensure completion of projects.
- Ability to handle confidential and sensitive information.
- Knowledge of office and administrative practices and principles.
- Ability to work both independently and collaboratively in a diverse, team-oriented fast paced environment.
- Ability to problem solve and make decisions.
- Willingness to learn.
- Knowledge of all Microsoft Office Suite applications
- High school diploma or equivalent, or equivalent learning attained through experience.
- Minimum of 5 years of relevant experience.
- Experience in coordinating executive-level schedules.
- Experience with website management through Drupal Sites or Arizona Sites
- Experience preparing professional content for social media sites, including X and LinkedIn.
- Experience with UAccess Financials.
- Experience with the Adobe Suite, Box, and Qualtrics.
- Bachelor's degree
- Experience with event planning.
