Anabas is currently seeking to employ a full time Helpdesk Coordinator member to join our fast-paced team, based at a beautiful landmark building at London Blackfriars.

As the ideal candidate you will have:

This role will be the main contact for all operations onsite, making sure we build good relationship with stake holders and ensuring PPM's & set-up information for teams is captured, maintaining high service standards and supporting the overall success of facilities management. Part of your duties & responsibilities on the Helpdesk will be:

This is a full time permanent role working 40 hours Monday to Friday with shifts between 7:00am and 7:00pm.

We are offering a an annual salary of 28,600 for this role with an annual holiday entitlement of 33 days which includes bank holidays.

Duties and Responsibilities:

    • Managing high levels of incoming calls via Teams and emails via Office 365, ensuring prompt responses in line with contractual agreements, and coordinate client requests with relevant onsite teams. Effectively comply emails in a corporate environment and problem solve requests with efficiency.
    • To be able to handle and organise a high demand inbox
    • To be able to plan and coordinate internal events, collaborating with external hospitality vendors. Meet with clients, gathering details to then populate on spreadsheets for overview.
    • Accurately log client requests on CAFM system called QFM, ensuring they are assigned to the correct SLA and assign to correct team for a timely resolution.
    • Work closely with engineers, facilities assistants, audio-visual teams, cleaning staff, FOH team and contractors to schedule work, monitor progress, and update QFM records accordingly.
    • Being able to make contractor call-outs, for maintenance team.
    • Order necessary materials and equipment to support day-to-day operations.
    • Prepare and submit accurate quotations on behalf of the FM team, ensuring they meet the required SLA timeframe.
    • Create and finalise client and internal reports in QFM, ensuring all data is accurate and complete.
    • Assist in reviewing contractor documentation (insurance, training certifications, risk assessments) and coordinate site attendance with site leads.
    • Provide additional helpdesk support as required, addressing client and team needs.
    • Maintain regular communication with the internal FM team and the central helpdesk team based in Darlington.
    • Participate in an on-call rota as needed. Covering shifts between the hours of 7-7
    • Assist in meetings and facilitate effective communication with key stakeholders to ensure smooth collaboration.

This is a permanent position.

Working Pattern:

Mon to Fri 40 hours per week on rotation

7am to 4pm with 1-hour unpaid lunch (Week 1)

10am to 7pm with 1-hour unpaid lunch (Week 2)

8am to 5pm with 1-hour unpaid lunch (Week 3)

9am to 6pm with 1-hour unpaid lunch (Week 4)
